Workshops Submission

Workshops at AIME are similar in structure to “Sessions” at other conferences held in the United States, which may comprise of scientific papers, posters, and/or mini keynote speaker. In addition, there could be demos of software. The abstracts of the scientific papers and posters can be published in the AIME24 conference proceedings. The full scientific papers and posters may be published in journals determined by the proposed workshop organizers. Generally, workshop organizers provide a letter of support from the potential scientific journal when submitting their workshop proposals. Workshops will be held on all days of conference.

Each workshop proposal should include the following elements:

  • Title,
  • Chairs: Name, affiliation, e-mail address, homepage, and short biography (one paragraph) of each chair, explaining the chair’s expertise for the Workshop with focused papers & posters. Please provide a statement that all co-chairs have agreed to attend and that your organization supports your involvement.
  • Abstract: A summary of max. 200 words describing the purpose of the Workshop with focused papers & posters, particularly defining the topic covered.
  • Topics: A list (no longer than half a page) describing the covered topics of interest
  • Motivation (one to three paragraphs):
    • Why is the topic timely and particularly interesting to the AIME participants?
    • Explain why there will be sufficient high-quality, unpublished papers or posters to fill the workshop, e.g., a list of scientists that you will invite to submit papers.
  • Former workshops (if applicable): describe the development of the workshop series over the past 3-5 years. Provide quantitative information on submissions and attendance.
  • Format (a tabular schedule or a one-paragraph summary): the intended mix of events, such as paper presentations, posters, invited talks, panels, demos, and general discussion.
  • Intended length: By default, workshops are half-day. If you have previous experience with full-day workshops at AIME and would like to lead a full-day workshop at AIME, please provide a rationale such as past attendance, etc.
  • Audience: Who and how many people are likely to attend?
  • Scientific Paper Program Committee: Name and affiliations of potential SPPC members in addition to the co-chairs,
  • Journal and Letter from Journal Editor ready to review submitted papers. Their abstracts will go to the main AIME conference Journal.
  • Requirements: audio-visual or technical requirements and special room requirements (e.g., a computer lab).

We strongly advise providing more than one chair, preferably originating from different institutions, to add different perspectives to the topics of the event. We will favor workshops presenting an innovative structure and a diverse program that attracts various types of contributions and ensures rich interactions.

Organizers of accepted events will be required to prepare a website containing their call of papers and contributions, as well as detailed information about the event organization and timelines. A link to this website will be provided on the AIME 2024 conference website. While the local chair will assist with the local organization of the event, the proposal’s organizers will be responsible for conducting their own reviewing process, promoting their event, and for preparing proceedings in electronic format (PDF). At least one chair of an accepted event will have to attend the event in person.

The lead chair of each accepted workshop will receive one free registration.

Workshop proposals should be sent to the Workshop Co-Chairs, Panagiotis Papapetrou (panagiotis@dsv.su.se), Fadya Shaya (fshaya@rx.umaryland.edu) and Aref Smiley (aref.smiley@utah.edu), and please copy Colleen Kenost (colleen.kenost@utah.edu). All submissions will undergo a common review process with 2-3 reviewers per proposal.

For more information about organizing an event, please contact the responsible chair.
