AIME 2024 - Welcome Reception

Join us July 9th at Trofi at the Salt Lake City Hilton for a welcome reception with drinks and heavy hors d’oeuvres while you catch up and network with colleagues.

AIME 2024 - Gala Dinner

On July 11th attendees will be shuttled to the Gala Dinner at the Natural History Museum of Utah. 

The Natural History Museum of Utah is the state’s official museum of natural history. Nestled in the foothills above Salt Lake City, the Museum’s home—the Rio Tinto Center—is an architectural wonder that houses 163,000 square feet of breathtaking exhibitions exploring billions of years of natural history. This venue is as distinctly Utah as the accompanying views of Salt Lake City and the surrounding mountains.

Visa Invitation Letter

Invitation letters for visa purposes can only be issued to people who have completed the registration process and paid the registration fee or submitted an abstract. Participants requiring a visa should apply immediately to the U.S. embassy in their home country in order to avoid inconvenience. Please note that the visa application process may take up to 6 weeks or longer. We strongly advise you to apply as soon as possible.

The Conference Organizer will process official invitations upon request. Before your appointment, please contact the embassy to confirm what documents they require.

Official Invitation letters are issued as PDF documents via email. If the embassy requires the original invitation letter, we can send the orginial letter by the following delivery method:

Express delivery service (FedEx) – The fee shall be added to the participants valid registration and covered in advance of the delivery. The express delivery fee will depend on the country of delivery. The organizer prefers using this delivery method as it is faster and enables the delivery to be tracked (using a tracking number).

Cancellation policy

If cancellation of your registration becomes necessary, you may send written notice to the University of Utah Conference & Event Management department (cgrant@conferences.utah.edu). 

Cancellations made by 5 pm MDT Friday, June 14, 2024 will be accepted. A $50 administrative fee will be assessed on all cancellations. Confirmed registrants who do not attend the conference or who cancel after June 14th are responsible for the entire registration fee. Attendee substitutions, however, may be made at any time. Should extenuating circumstances arise which result in your registration cancellation, exceptions to the cancellation policy can be made on a case by case basis. Please state your reason for cancellation in your written notice to University of Utah Conference & Event Management.

Press Credentials

How do I request press credentials? 

To request credentials: If you meet the required criteria, please email Carrie Grant (cgrant@conferences.utah.edu) with the following information: News organization, first name, last name, address (including city, state, and zip code), country, phone number, email address, Twitter handle, proposed scope of coverage, official press credentials such as a business card, editorial roster or masthead, international press card, or letter of assignment, and dates that you plan to attend the conference.  A dedicated press room that can be used for speaker interviews may be available during the conference.  If you would like to have access to a dedicated press room for interviews, please include that request with your credential request. 

Submitting a request for press credentials does not automatically qualify you for press registration. Registration will not be guaranteed for those who fail to submit the requested information above.  Press credentials will be issued to journalists from recognized media organizations. Credentials will not be issued to account representatives, sales executives, book authors or representatives of vendor or personal websites. AIME 2024/University of Utah Conference & Event Management reserves the right to deny registration to any applicant. 

Confirmation of request: We will respond within 5 business days letting you know whether your request has been approved and provide press registration instructions.  Please be aware, pre-registered press will have their names and contact information included in attendee lists alongside conference exhibitors, speakers, and sponsors. 

Deadline: Press credentials should be requested as soon as possible, and no later than one week before AIME 2024. Onsite requests will not be granted. 

What restrictions are there on video, photography, speaker interviews, etc.? 

Advanced permission is required for news cameras, photography and radio broadcast onsite during AIME 2024, and recordings of all or portions of the conference without prior approval are prohibited. 

What do I do once I arrive at the conference site? 

All members of the media must pick up their own press badges at the main registration/check-in desk. A photo ID is required. Press credentials are required for access to plenary and concurrent sessions.   

Press credential holders are entitled free admission to: Plenary and Concurrent Sessions 

**Ticketed events are not included. Press attendance at ticketed events – those that require pre-registration and/or a fee to attend, such as the welcome reception and gala dinner – is at the discretion of the planning committee.
